Guidelines for organising the
International Drying Symposia


  1. The Symposium is held biennially in even numbered years possibly during the months of July and/or August. Duration of the Symposium should not exceed 4 days.
  2. Bodies forming the structure of IDS organisation are: Organising Committee, Advisory Panel, Award Committee.
    • The Organising Committee is formed by the country (countries) which has been elected to host the next event - it's responsibility is to organise the next IDS.
    • The Advisory Panel is a permanent body composed of ca. 30 members, there is an Advisory Panel Secretary elected for each 2 year term between the events - responsibility of AP is to provide continuity of the IDS symposia, secure their high scientific level, provide guidance and help to the Organising Committee.
    • The Award Committee is a permanent body composed of ca. 10 members - in majority former recipients of the Excellence in Drying Research Award (the Procter & Gamble award). It is headed by a Chairperson who is the last recipient of the Excellence in Drying Research Award-responsibility of the AC is to elect the recipients of awards funded by sponsors, to seek continuity of this support for each award and to acquire new sponsors of awards.
  3. The Symposium is composed of invited keynote lectures (ca. 10), regular oral presentations and poster presentations. The distribution of papers between oral and poster sessions is left to the Organising Committee.
  4. Freedom is left to the Organising Committee to identify and name individual oral sessions. The structure and names of oral sessions, however, should conform to the ones of the previously held symposia with a margin left for addition of new identified subjects and removal of outdated ones.
  5. The Symposium organisers produce and distribute the following materials: First Announcement and Call for Papers, Second Announcement and Third Announcement (or Conference Information) at the following suggested deadlines:
    First Announcement : distributed during the preceding IDS
    Second Announcement: the same as the acceptance of abstracts and instructions for preparing the manuscript should be sent with the acceptance of abstract and simultaneously made available in the IDS home page
    Third Announcement: at least one month before the event (should contain the programme)
  6. Deadlines for participants are suggested as:
    Preliminary registration: by the end of the preceding year
    Abstract: by the end of the preceding year
    Manuscript: ca. 5 months before the event
    Registration and fees
    (presenting authors):
    3 months before the event
    (others): until the event begins
  7. Deadlines for organisers concerning the acceptance of papers:
    Acceptance of abstracts: one month after the deadline for abstracts
    Acceptance of manuscripts: one month after the deadline for manuscripts
  8. To avoid publishing papers which will not be presented during IDS the policy of publishing only those papers whose at least one author has paid the registration fee (or obtained reduction from the organisers), should be forced and clearly explained to authors of the abstracts.
  9. Organisers are responsible for: establishing an IDS home page at Internet where all pertinent information will be placed (URL should be sent to major search engines), producing bound volume(s) of Proceedings, producing list of participants available during the symposium and at Internet afterwards.
  10. Accompanying events may include a discussion forum, industrial exhibition, software session and other relevant events.
  11. The Award Ceremony is to be held during a conference dinner (banquet).
  12. A conference reviewer should be sought among the participants who will be invited to present his/her summary and impressions from the conference during the closing ceremony of IDS. This speech should be made available to the public via the IDS home page. It will also be published in Drying Technology.
  13. It is recommended to hold the Symposium following or jointly with the meeting of the national drying association (if any) to allow for better intermixing of the local and international drying community.
  14. Organisers should try to get a considerable interest of the local media in the event.
  15. Organisers should seek financial support of the local or international sponsors. There should be a fund established for supporting participants from the developing countries by offering them a reduction (to 50%) or waiving of the conference fee. Typically ca. 10% of the participants may be covered by this arrangement. The reduced fee and cheap accommodation should also be made available to student participants.
  16. A meeting of the Advisory Panel should be organised during the symposium. The AP Secretary elections for the next term should take place.
  17. A possibility of organising a meeting of a regional drying organisation (if any) during IDS should be made available to a Chairperson of the pertinent body (e.g. Working Party on Drying of EFCE while in Europe).
  18. Advisory Panel members should be asked to advertise the IDS event in their home countries.
  19. Current IDS organisers shall pass the updated address database to the next IDS organisers. The database format is MS Access. Persons who did not register to the current and previous IDS should be removed from the database.
  20. Making a group photo of the Symposium participants (with logo) is highly recommended.

Guidelines for preparation of the Proceedings

  1. The Proceedings should be distributed during the Symposium. So far the bound hard copy form is preferred, however, it will soon be probably replaced by a CD version. In the transition period it would be worthwhile to produce both and ask the participants beforehand which version (or both) they would like to have.
  2. The Proceedings format is 167 x 240 mm, hard bound. Typing area on a A4 (or Letter) format should be set accordingly to fit onto this page after reduction in size.
  3. The manuscripts have to be prepared by the authors in a "scanner ready" format and accompanied by a 3½ inch diskette with the text. The diskette can be used by the print shop to speed the printing process.
  4. Since most of the people use MS Word for typing, the instructions for authors should be prepared having in mind the conversion from WORD into a page making software used by the selected print shop. This includes avoiding less common fonts, using acceptable software for placing figures in the text etc. It is recommended to authorise the instructions for authors in the print shop selected for printing the Proceedings.
  5. Artwork should be incorporated in the text. Owing to many graphical formats and tools possible it is highly recommended to place them in the document in TIFF format only.
  6. The instructions for authors should be written in a form of a mock-up contribution or a separate dummy document file bearing the recommended format of the manuscript. The file with these instructions should also be made available via Internet to all authors. This dummy file can be typed over by the author line by line thus preserving the uniform page format, margins, line spacing, headings, layout of sections, fonts and their sizes etc.
  7. The Proceedings should have their ISBN number so they can be placed in the international book databases.
  8. Title pages of each contribution should bear the full conference description typed in by the editors.
  9. The Proceedings should have the Contributors' index.
  10. In calculating the price and number of copies of the Proceedings the IDS organisers should have in mind that they will be asked for free courtesy copies by libraries and individuals from the developing countries (estimated number is 30).
